Every Line Item a Landscaping Invoice Should Have

A man pushing a mower across a lush green residential lawn, the kind of visit a landscaping invoice bills for labor and equipment time
A mow, a cleanup, a planting day. Every visit like this becomes one line on the invoice below. Photo by Shixart1985, CC BY 2.0, via Wikimedia Commons.

A landscaping invoice bills what the estimate only promised. Get the categories right in your landscaping invoice template and a client reads the bill in ten seconds.

1

Labor

Crew hours, mowing and edging, or a flat visit rate. Keep it apart from materials.

2

Materials and plants

Sod, mulch, soil, shrubs, sprinkler heads. List each by quantity and unit.

3

Equipment

A rented aerator, a sod cutter, a skid steer day. Give it its own line, because it does not scale with labor hours.

4

Disposal and hauling

Green waste haul away, a dump fee, a debris trailer run. Keep it visible.

How to Fill Out a Landscaping Invoice in 5 Steps

1

Confirm what actually happened on site

Walk the job against the estimate. Note any change, like an extra yard of mulch. The invoice bills what happened.

2

Fill in the contractor and client blocks

Add your business name, address and phone, then the client’s billing address. List the property separately if it differs.

3

Enter every line item by category

List labor, materials and plants, equipment, and disposal as separate lines. Give each a quantity and a unit.

4

Apply tax, the deposit credit, and the balance

Add tax where your state requires it, then subtract any deposit. What is left is the balance due. Show all three lines.

5

State the terms and send it

Write the due date, late payment policy, and any planting warranty in plain words. Then send it the day you finish.

Worked Example: A Full Yard Cleanup and Mulch Job

Frequently Asked Questions

Filling out the invoice

What is the difference between a landscaping invoice and a landscaping estimate?
An estimate goes out before the work with projected quantities. An invoice goes out after, with actual quantities, a due date and any deposit credit. Only the estimate needs a signature.
How do I show a deposit on the invoice?
List the total, then a deposit credit applied line with the amount already paid. The next line is the balance due, which is what the client owes now.

Measuring and getting paid

Does this template have a place for sales tax?
Yes, a tax rate line sits between the subtotal and the total. Taxability varies by state, so check your state revenue department before you fill it in.
Does the free template include a way to take card payment?
No, on purpose. The payment block lists check, bank transfer, or a payment app handle. Run any card charge through your own processor.
Can I measure the yard from a photo instead of walking it with a tape?
Not from the photo alone. Measure the yard and add the numbers to the description. SimplyWise Cost Estimator then turns a photo into an itemized estimate in about 6 seconds. The lines carry into the invoice.
